Benefits & Payroll
Introducing the Trinet Platform
The Grove uses the Trinet platform for all benefits and payroll items. This includes open enrollment for medical, dental, vision, and other selections — as well as payroll information such as scheduling, paystubs, tax info, and access to your 401K via Empower.
Additional Features of Trinet:
- Access and update your HR information
- Update your personal information (address, phone, emergency contacts)
- Participate in Open Enrollment (when applicable)
- Access and update your tax information
- Access and download tax documents such as W2s

We’ve put together a collection of SOPs to help keep our work consistent, efficient, and high quality. These documents cover key processes and best practices for how we operate at The Grove.
We ask that all employees review and follow the SOPs. They’re living documents and may evolve as we grow—please reach out to your manager if you spot something that needs updating.

Social Media
The Grove encourages the use of social media, both on a personal and professional level. We ask that anytime you are representing yourself as a part of The Grove, either personally or professionally, you do so in good taste. If you have questions about this, please direct them to your manager.

Dress Code
We enjoy a fun, casual environment, but want to ensure we still present a level of professionalism. We don’t require a specific ‘business casual’ dress code; however, we request that all employees remember that we’re often on video calls with clients and must present ourselves as ‘put together.’
While not a frequent occurrence, we could also have potential or current clients drop by the office in person. Jeans and t-shirts are okay (Grove gear encouraged!), but please refrain from offensive language or slogans. Sweatpants are discouraged, and leggings are okay if paired appropriately. We trust our team to use their best judgment.

Office Hours
We request that The Grove employees work from approximately 8:30/9:00am to 5:00/5:30pm. If you arrive later than 9:00am, and it’s not pre-planned (i.e., doctor appointment), please let your manager know. We expect employees to have occasional schedule adjustments some days, but please do not abuse the casual environment that make us a fun and unique workplace! All full-time employees are expected to work and are paid for a 40-hour work week.

Parking & Building Access
Our office is on the 12th floor of Winston Tower at 301 N Main Street. The Grove provides parking in the parking deck located at 296 N. Main Street. Visitor parking is available in the deck beneath the building. It is accessible from 301 N Church St. The visitor should inform the parking deck security officer that they are visiting The Grove, and the security office will direct them where to park.
Each team member working in the office will be issued a keycard and physical key. The keycard is used to access the parking deck and Winston Tower. The physical key is used to access the office. If either of these is lost, please let your manager know as soon as possible so a new one can be issued and any access security measures can be taken.
Winston Tower’s hours are 7am to 6pm, Monday – Friday. You must coordinate with your manager if you need to work in the office outside those hours. Outside of regular business hours, the building is accessible via the side entrances (3rd St. and 4th St.) Please let the security officer stationed in the main lobby know if you will be working outside of regular business hours.

Paid Time Off
Flexible Time Off (Explained)
The Grove uses a Flexible Time Off (FTO) Policy. This gives our employees the flexibility to take personal time, without having to worry about how many hours you’ve accrued. We trust you to get the job done — and to take the time off that you need, when you need it. Below are some best practices for taking time off:
Keep Your Team Informed
Schedule FTO as far in advance as possible with your manager. This will allow for appropriate coverage plans to be in place before you take your time off.
Be Conscientious
Use your best judgment when deciding how to exercise your FTO. We trust our team members to use, not abuse this policy.
Set an Autoresponder
Please set an autoresponder on your email (and voicemail, if applicable), letting people know who to contact in your absence. Also update your Slack status.
A Policy Built on Trust
A belief in one another that we will do the right thing, that we will act responsibly and ensure our work gets done on-time, on-budget, and with the highest quality. If there is a breach of that trust, we will work to fix that breach as a group as quickly as possible.

Why a Flexible Time Off (FTO) Policy?
The Flexible Time Off policy gives you the flexibility to take personal time, without having to worry about how many hours you’ve accrued. Here are a few reasons why we chose this policy:
- Trust: We trust you to get the job done. This policy allows you to take the time off that you need, when you need it.
- Growth: We want The Grove to be a place where you want to grow your career.
- Competition: We aim to deliver rewards that are competitive so that we can continue to attract and retain the industry’s top talent – like you!
How does this work with leaves (medical, jury duty, military, etc)?
If you will be out for more than five days for any reason other than vacation (e.g., illness, caring for an ill family member, parental leave, disability, jury duty, etc.), you must contact your manager or a member of the HR team to determine if you qualify for a special leave. The Grove does not provide paid leave for these circumstances (medical leave, parental leave, etc), however our Short Term Disability benefit can provide some financial assistance during these situations.
Is all time off approved?
Managers can consider rejecting vacation requests if:
- Other team members with similar or complementary duties have already asked for leave during the same time.
- The time in question is too busy or includes an important deadline for the employee asking for leave.
- An employee appears to abuse the policy. Managers have to prove that this is the case, using data from their forthcoming leave tracking system and presenting employees’ inadequate deliverables. They should also arrange a meeting with the employee and HR. If a manager feels that an employee is abusing the FTO policy, the manager will first address the issue with the employee. If the employee continues to abuse the policy, further action will be taken which may result in an employee receiving unpaid leave for a probationary period.
